Finalizing the last few items of data, security, organization chart and finances is quick and easy.
Take a few minutes to review your data. Spot checking is ok as you’ll likely ask your leadership team to do a more in depth review later. If you imported your data from ScoutNet you should be good with the core awards tracked by the BSA. For other methods and awards take some time to go over them and verify everything looks reasonable.
If your data import didn’t specify Den/Patrol then it will have imported them into a single “Data Import Den”. Create your dens/patrols, then use the menu option Membership => Den/Patrol Alignment to drag/drop the scouts into any Den/Patrol.
Catch up on partial requirements
Things are always in flight so be sure to have your leadership ensure that any completed requirements are sign off in Scout Manager. For Packs you should pass this task along to your Den Leaders and Parents for review. They will need to go through each boy and ensure that their completed requirements of non-completed awards are marked. This will naturally work itself out over time as parents review things and notify the den leaders. There is also an Incomplete Requirements Report available to help identify where boys are missing requirements.
For example pack meetings, campouts, Popcorn due dates, etc -- be sure to invite the Pack to the events using the system distribution lists. This will help with adoption of the parents and other leaders. Invite others to participate . We recommend inviting your leadership team early by visiting their Profile and clicking the “Invite to Scout Manager” button. This will send them an email with a link allowing them to choose a password and login for the first name. Later, you’ll want to invite your parents, other adults and possibly scouts to participate. This is easily done using Administration => Invite new Users.
The links in the invitation emails can only be used once and are only valid for up to 2 weeks. After that you’ll need to resend the invites. You can use continue using this tool throughout the year to get new people onboard and send out updated invite emails to people who haven’t participated yet.
We recommend onboarding your leadership team as soon as possible so they can get familiar with Scout manager and can help verify everything is squared away for each scout. To invite them simply open their profile page by clicking on their name in the Users tab, then click the "Invite to Scout Manager" button. They'll receive an email with details for logging in.
